The role you'll contribute:

  • The Database Administrator is responsible for executing all Foundation gift processing functions. Administers and oversees the Foundation's contact databases.  These responsibilities include, but are not limited to, gift processing, issuing gift receipts and acknowledgements, and providing gift reports. This includes but is not limited to:  donor data entry and acknowledgement, major gift prospect input and management, online event and donor software and tools, multiple direct mail projects, data cleansing and manipulation, statistical reporting and analysis, mailing list management, and donor/prospect research and relationship management.  Analyzes and assesses information from multiple resources to assist in development and implementation of fundraising strategies. Works with Accounting to reconcile gifts, pledges and events.

  • Process all gifts received by the Foundation within 48 hours of receipt; execute and support others in HIPAA-compliant, efficient, centralized gift record keeping within the Raiser's Edge database and network drives in accordance with all Foundation policies.
  • This position will track online donations and manage record entry into Raiser's Edge; process and record manual credit card transactions; track corporate matching gift donations and manage matching gift portals; enter contributions and any other related donor information that is received, as needed.
  • This position will handle internal and external inquiries regarding gift records and execute special projects related to gift management such as associate appeal, tax year-end and IRS reporting.
  • This position will execute reports related to gift batch entry and receipting as well as recent gift reports for Foundation teams.
  • Manages Blackbaud Raiser's Edge database functions as well as research screening.
  • Manages content, design and gift input for event and other online tools (examples: Auction Pay (Greater Giving and Golf Invite systems).  Ensures all information is accurate and up to date.
  • Coordinates the processing of relevant correspondence and acknowledging of gifts, pledges, pledge payments, matching claims, memorial gifts, grateful patient, ticket sales, sponsorships/ads, and other contributions of the Hinsdale Hospital Foundation.
  • Structures complex queries involving dates, funds, amounts of gifts and other criteria.  Export query results to spreadsheets.
  • Monitors Foundation database system to maintain a high level of data integrity, conducts all global changes and/or data imports and minimizing duplications and correcting coding or data entry errors as needed.
  • Support, track and reconcile data and revenue for all Foundation events (Gala, Golf, Fall Festival of Flavors, Cultivation Events, etc.).
  • Provides statistical data and monitors fundraising activities to track, assess and benchmark results as needed.
  • Provides support to AdventHealth Foundation staff by assisting with creation of reports and mailing lists.
  •  Serves as the Foundation liaison with Accounting, IS and applicable service vendors.
  • Tracks outstanding annual and campaign pledges.  Monitors pledge payment activity and reminders quarterly.
  • Keeps all system updates current (Raiser's Edge, Financial Edge when appropriate, Greater Giving, Golf invite, etc.).
  • Prepares bank deposits and corresponding spreadsheets in coordination with Accounting on a weekly basis.
  • Work with the Development Operations Director, Accounting, Payroll and Human Resources to reconcile and review payroll deductions from the Employee Giving Campaign.
  • Updates donor walls eligibility annually.
  • Develops policies and procedures for implementation and management of Raiser's Edge (including Financial Edge) data and donor related gift management.
  • Creates and manages codes for campaigns, appeals and pledges to maintain consistency.
  • Utilizes wealth screening tools.
  • Evaluates research results to develop and implement further research strategies.
  • Researches, updates and inputs donor management system with contact information and other biographical and wealth screening information.
Qualifications

The expertise and experiences you'll need to succeed:

  • High school diploma/GED with 2 years of experience, or Associate's degree, or Bachelor's degree required.
    • Minimum two years relational database /donor management software experience
    • Previous experience conducting research on individuals and corporations
    • Excellent knowledge of Microsoft Office products, specifically Word, Excel, Access, Outlook and PowerPoint
    • Highly organized with superior problem resolution and analytical skills
    • High level of interpersonal and customer service skills
    • Must be able to multi-task, work in a fast-paced office and work with multiple priorities and deadlines with accuracy
    • MUST BE AVAILABLE TO WORK WEEKENDS
    • Advanced knowledge of Blackbaud Raiser's Edge and Financial Edge - fundraising software and ability to run queries - Preferred
    • General knowledge of prospect research tools (Wealth Point on Time, Research Point, or appropriate tool) - Preferred
